Terms of Service

Welcome to NLJC Northern Virginia. These Terms of Service ("Terms") govern your use of our website, registration for our programs, and participation in our cotillion classes and events. By registering a student or using our services, you agree to be bound by these Terms.

Please read these Terms carefully before registering. If you do not agree with any part of these Terms, you may not use our services.

1. About Our Services

NLJC Northern Virginia is a chapter of the National League of Junior Cotillions, providing social etiquette education, dance instruction, and character development programs for students in grades 4-12. Our programs typically consist of monthly classes held at local country club venues during the school year (September through May).

Programs include instruction in:

  • Social etiquette and manners
  • Dining etiquette
  • Ballroom and social dance
  • Conversation skills and introductions
  • Character development and respect

2. Registration and Enrollment

Eligibility

Students must be enrolled in the appropriate grade level for their selected program. Registration must be completed by a parent or legal guardian who is at least 18 years of age.

Registration Process

Registration is completed online through our website. By submitting a registration, you:

  • Confirm that all information provided is accurate and complete
  • Agree to these Terms and our Privacy Policy
  • Authorize us to charge your provided payment method
  • Acknowledge receipt of program information and class schedules

Class Capacity

Classes have limited capacity to ensure quality instruction. Registration is processed on a first-come, first-served basis. If a class is full, you may be placed on a waitlist and notified if a spot becomes available.

3. Tuition and Payment

Tuition Fees

Tuition fees are posted on our website and may vary by program and location. Fees cover instruction, venue rental, refreshments, and program materials. Tuition does not include appropriate attire, which is the responsibility of the family.

Payment Terms

  • Payment in Full: Full tuition is due at the time of registration unless a payment plan is selected.
  • Payment Plans: Where offered, payment plans allow tuition to be split into installments. All payments must be completed before the final class of the season.
  • Sibling Discount: A 10% discount is automatically applied to the second and subsequent students from the same family registered in the same season.

Late Payments

Payments not received by the due date may result in suspension of the student's participation until the account is brought current. Accounts more than 30 days past due may be subject to collection efforts.

4. Cancellation and Refund Policy

Withdrawal by Family

If you need to withdraw your student from the program, refunds are calculated as follows:

  • Before the first class: Full refund (100%) minus any non-refundable registration fees
  • After 1-2 classes attended: 75% refund of remaining tuition
  • After 3-4 classes attended: 50% refund of remaining tuition
  • After 5 or more classes attended: No refund

To request a withdrawal, please contact us in writing at info@nljcnova.com. Refunds will be processed within 14 business days.

Cancellation by NLJC

In the rare event that we must cancel a class or program due to insufficient enrollment or unforeseen circumstances, you will receive a full refund or the option to transfer to another available class.

Missed Classes

Tuition is not prorated for missed classes. If a student misses a class, they may attend a makeup class at another location during the same season, subject to availability. Please contact us to arrange makeup classes.

5. Student Conduct and Expectations

Dress Code

Students are expected to dress appropriately for all classes and events. Specific dress code requirements will be communicated prior to the start of the season and may include:

  • Young gentlemen: Dress slacks, collared shirt, tie, dress shoes
  • Young ladies: Dress or skirt of appropriate length, dress shoes (comfortable for dancing)

Behavior Standards

Our program emphasizes respect, kindness, and positive social interaction. Students are expected to:

  • Treat instructors, staff, and fellow students with respect
  • Follow instructions and participate in all activities
  • Use appropriate language and behavior at all times
  • Respect the venue and its property
  • Refrain from using cell phones during class unless instructed

Dismissal Policy

We reserve the right to dismiss any student whose behavior consistently disrupts the class or is disrespectful to others. In such cases, a partial refund may be issued at our discretion.

6. Health and Safety

Medical Information

Parents must disclose any medical conditions, allergies (including food allergies), or special needs that may affect their student's participation. This information helps us ensure student safety and accommodate individual needs.

Illness Policy

Students who are ill should not attend class. If a student becomes ill during class, we will contact the parent/guardian immediately for pickup. Please keep emergency contact information current.

Emergency Contact

Parents must provide current emergency contact information. At least one parent/guardian must be reachable by phone during class times.

7. Photography and Media Release

By registering your student, you grant NLJC Northern Virginia permission to photograph and/or video record students during classes and events. These images may be used for:

  • Our website and social media accounts
  • Promotional materials and brochures
  • Internal training and documentation

If you do not wish your student to be photographed, please notify us in writing at the time of registration. We will make reasonable efforts to accommodate your request.

8. Liability and Assumption of Risk

Assumption of Risk

Participation in cotillion activities involves physical activity including dancing. By registering, you acknowledge that participation involves inherent risks, including the risk of physical injury, and you voluntarily assume these risks.

Limitation of Liability

To the fullest extent permitted by law, NLJC Northern Virginia, its directors, instructors, and staff shall not be liable for any injuries, damages, or losses arising from participation in our programs, except in cases of gross negligence or willful misconduct.

Indemnification

You agree to indemnify and hold harmless NLJC Northern Virginia from any claims, damages, or expenses arising from your student's participation in our programs or your breach of these Terms.

9. Communication

By providing your contact information, you agree to receive communications from us regarding:

  • Class schedules, reminders, and updates
  • Important announcements (weather closures, venue changes)
  • Payment and account notifications
  • Upcoming season registration information

10. Intellectual Property

All content on our website, including text, graphics, logos, and images, is the property of NLJC Northern Virginia or the National League of Junior Cotillions and is protected by copyright and trademark laws. You may not reproduce, distribute, or create derivative works without our written permission.

11. Modifications to Terms

We reserve the right to modify these Terms at any time. Material changes will be communicated via email or posted on our website. Your continued use of our services after changes are posted constitutes acceptance of the revised Terms.

12. Governing Law

These Terms shall be governed by and construed in accordance with the laws of the Commonwealth of Virginia, without regard to its conflict of law provisions. Any disputes arising from these Terms shall be resolved in the courts of Fairfax County, Virginia.

13. Severability

If any provision of these Terms is found to be unenforceable, the remaining provisions shall continue in full force and effect.
